Managing Inventory
Vwaza can track your merchandise stock for you so you never sell something you cannot ship. Here is how it works and how to use it.
Tracking on or off
Each product has an inventory tracking toggle. If you make-to-order, sell digital downloads, or have effectively unlimited stock, leave tracking off and Vwaza will let any number of buyers purchase. If you have a fixed number of physical units (the most common case), turn tracking on and Vwaza will protect you from over-selling.
How stock decrements work
When inventory tracking is on, Vwaza decrements stock atomically inside the order transaction. Two buyers checking out at the same moment cannot both purchase the last unit: whichever order is committed first wins, and the second buyer sees the item as out-of-stock.
What this means in practice
- You will never have to apologise to a buyer because two people bought the last unit.
- Stock is reserved at the moment of payment, not when the item is added to a cart.
- If a payment fails, the stock is automatically released back.
- If a buyer is later refunded or cancels, the stock is re-incremented.
Low-stock badge
When the available stock for a product or a specific variant drops to 5 or fewer units, Vwaza shows a "Low stock" badge to buyers on the storefront. This creates urgency and tends to lift conversion. You do not need to enable it: it appears automatically.

Item-level vs variant-level stock
Two ways to count stock
- Item-level. The product has a single stock number. Use this when there are no variants (e.g., a one-size hat).
- Variant-level. Each variant (Size M Black, Size L White, etc.) has its own stock number. Use this whenever a product has options that affect availability.
When you add variants to a product, Vwaza switches the stock counter from item-level to variant-level automatically and asks you to set a count for each combination.
Restocking and adjustments
You can change a product's or a variant's stock count at any time from the product edit screen in Vwaza Studio. The change takes effect immediately. There is no audit log shown on the seller side today: if you need to investigate a stock-related issue, contact support with the order or product ID.
